An Entrepreneur’s Guide to Lifestyle Freedom: Episode 17

Every self-made millionaire reached success because they first developed an ability to manage time. In my early years as an entrepreneur, I spent alot of time and alot of money looking for the ultimate time management system.

Quite frankly though,  the phrase ‘time management’ grew meaningless to me once I realized it’s not physically possible to manage time. We can, however, manage our actions.

I took bits of knowledge from all of the time management systems I learned to create an action management system that got me where I am today. Here is what I came up with…

The Unemployed Millionaire Action Management System

As you saw in the video, I personally carry a planner from Franklin Covey that has two full pages for each day. One page is for notes and the other page consists of a schedule to put down appointments and a Prioritized Daily Task List (PDTL).

I am not at all a morning person so I plan my upcoming day each night just before bed. My first step in planning is to figure out which tasks I want to complete the next day.

If you’ve ever created a Need To-Do List, then you’ve experienced how the subconscious magically works out a way for you to not be excited about getting the Need To’s done… It is much more exciting to complete tasks that you Want To-Do! :)

ABCs of Action Management

After I complete my Want To-Do List, I prioritize my activities using three categories: A priorities, B priorities, and C priorities. Here is what each category means:

  • A Priority – Action items that you absolutely must complete before you can even think of going to bed.  It’s best not to be an overachiever with the A’s… Make sure you are very selective with what you classify as an A!
  • B Priority – Action items that you really should get done. It will not be the end of the world if you don’t get to a B priority.
  • C Priority – Action items that might be important but have no time sensitivity. Tip: Create a list of important C items daily but move the least important C items over to a monthly list.

123s of Action Management

Now that you’ve prioritized your Want To-Do List, it’s time to figure out the order in which you will complete your A, B, and C priorities. By creating an order for your prioritized action items, you are making yourself a road map to follow which will motivate you to take action more than a list of tasks in random order.

I love starting my day being able to get right down to business and knock tasks off, one after another.  Mainly because it creates tons of free time!

The Time Factor

This next step is what took my productivity to a whole new level… After I’ve prioritized and numbered my tasks, I calculate the amount of time I need to allow to complete each task. Next, I tally up the total number of time it will take to accomplish everything I want to accomplish.

By following this system,  it’s nearly impossible to overestimate how much you can accomplish in a day.

Set the Agenda

To properly manage my actions, I schedule appointments for every task on my Want T0-Do List and I treat the appointments like an important meeting or a doctor’s appointment.

Setting appointments will enable you to start living in proactive mode rather than in reactive mode. Phone calls, e-mails, and coworkers are less likely to steal your time because you will be much more focused on accomplishing your Want To-Do’s.

  • Hi Matt
thank you very much for the list. looking forword to see you in Cyprus at the ecceleration on the 26th 27th feb.
  • Above mentioned system is very good, I agree time is money we have to manage our time. Time management is not necessarily about getting lots of stuff done, because much more important than that is making sure that you are working on the right things. Following are the tips to manage your time like create time management goals, implement a time management plan, respect your promises, write things down, plan your week, carry a notebook etc these are the tips which will reduce the work and give you more time to do another work.

Amazing Matt - A seemingly simple stratergy which is very effective.I'll definitely be putting that into practice in my life.

    Thanks
    Michélle
  • Excellent post, Matt!

I've been working hard at effective time management lately, and this post sums up a fantastic 'system' all in one place. Very thorough - I cannot wait to start implementing your tips.

Thank you for the great content ...

    Best to you,
    Scott

Most awesome 'time management' goal setting tips you have shared here, Matt. Listened to them in the afternoon, took notes ... and bang! .... I was out like a light by early evening.
Up in the early a.m., and accomplished more in 8 hours, then I have in 2 months, as an upcoming enterpreneur / writing to be published / global speaker. Definitely a percentage of what you said / explained in your video, deserves some credit for my sleepless night. Thanks ... with true sincerity.
A peek into 'your' subconscious goal setting techniques, was like turning the switch back on, and I could clearly see the thoughts that were evading me in the scrabbled information that cluttered my day / wasted valuable time, in planning my course of action. I couldn't write / type fast enough, with the breakthrough this valuable coaching clip helped me accomplish.
Thanks for having the treasure hunt [nuggets of gold], you have invited others to take claims / tap in with / to. Your motivation / inspiration / teaching skills / books, in helping others grow ~ in thinking like a millionaire, while helping those who are less fortunate / struggling ~ out of your bounty of blessings, makes you a true hero in my eyes.
Never could handle that 'Fake it til ya make it' crap, and knowing of you through my mentor, I know you speak in truth. Each step you laid out above, is basically what Sam Crowley [EDIS] ingrained in us, at a work shop in Orlando. Connecting with you through his URL was another stepping stone, in reaching my goal...on the fast track my husband and I are needing to adjust to.
Have a deal for you Matt. Vegas, New Year's Holidays round abouts / 2011. 'Texas Hold Em' with selected invites, on one condition .... if I qualify to sit at the table. I would like my 'Lady Luck' ~ Reba ~ sitting / standing behind me during the game. I know she would love to be part of the fun, and Sam can verify that.
If that plan doesn't manifest, there's always the following year...eh!?
  • Great system Matt! I have been using it with great results.
  • Tracy K
What a super system, have been using it now since beginning of January. Working out how long tasks will actually take to complete is the best part. I have two young children and looking after their needs of course takes a good chunk of the day so fitting in other business and personal tasks is challenging. Recommend Matt's system to all busy parents.

    Thanks so much Matt
  • this is absolutely amazing. thanks.
  • Mobeen Tejani
    Great Matt as always.
  • Mwihaki Njehu
    Hi Matt,
i like the ABC and the time schedulling.
In mine I have a D - Delegate ( tasks that can be done by someone else )
  • That's a great idea! I'll be adding the Delegating section immediately.
  • Alex Faleye
    Hey Matt

    Thanks

    Hi Matt,

I love your action management style on time management.

This will help me to better organise my time and day and become more productive.

    Thanks

  • I agree. Time management is something that I have not took the time to do. Now I see the importance that is has and will implement it into my wealth building strategies. Thanks for another piece of valuable information.
